If you're reading this, you're staring at a response list that's 60% complete and a caterer deadline that isn't. You don't need another article explaining why guests forget to RSVP — you need wording you can paste into a text, a WhatsApp thread, or a bulk sender right now.
Below are 25+ reminder templates organized by tone (polite, casual, funny, formal) and timing (first nudge vs. final reminder). Each one is short, ready to paste, and worded to maximize the reply rate. Swap the bracketed placeholders and you're done.
Rule #1 of reminder wording
Always include the RSVP link in the message itself. The #1 reason reminders don't convert is that the guest would have to go find the original invite to respond. Make it one tap.
When to Send RSVP Reminders (and How Often)
Two reminders is the sweet spot for most events. Three is fine for weddings. Four starts to feel like chasing.
| Reminder | When to send | Tone |
|---|---|---|
| #1 — Soft nudge | 7–10 days before RSVP deadline | Friendly, low pressure |
| #2 — Real reminder | 48–72 hours before deadline | Specific, includes deadline date |
| #3 — Last call (optional) | 24 hours before deadline | Direct but warm — "we need a final headcount for the caterer" |

The Bad Reminder Patterns to Avoid
- No link in the message. Any reminder that makes the guest hunt for the original invite is a reminder you already lost.
- Guilt-tripping. "I guess you don't care about us" isn't a reminder — it's a confrontation, and it kills the reply rate.
- Mass-blind CC. People ignore what clearly went to 200 people. Use bulk tooling that sends each message individually (see below).
- No deadline. "Whenever you can" lets the guest defer indefinitely. Give a date.
- Reminding people who already replied. Sending a "did you RSVP?" to someone who said yes a week ago is the fastest way to look disorganized. Filter by status.
How to Send Reminders to Only Non-Responders
The template is half the job. The other half is targeting — sending only to people who haven't replied, in the channel they actually use, without a spreadsheet session at 11 PM.
With QuikRSVP, every form has a built-in dashboard that filters guests by response status. From that filtered list you can send a WhatsApp or SMS bulk reminder that uses each guest's name, includes their personalized RSVP link, and automatically excludes anyone who's already replied. Details in our RSVP tracking guide.
Filter by status
Only message "not responded." Skip the awkward "did you already reply?" texts.
WhatsApp or SMS
Send where guests already are — 80%+ open rates vs. ~25% for email.
Personalized link
Each guest gets their own one-tap RSVP URL. No lookup, no login.
Frequently Asked Questions
When should I send an RSVP reminder?
Send a first reminder 7–10 days before your RSVP deadline, and a final reminder 48–72 hours before. For weddings with a firm caterer cutoff, a third direct reminder 24 hours before the deadline is appropriate for non-responders only.
How do you politely remind someone to RSVP?
Keep it short, assume the best (they forgot, not ignored), give a clear deadline, and include the RSVP link directly in the message. Example: "Hi [Name]! Just a quick reminder about [Event] on [Date]. Could you let us know if you can make it? RSVP here: [link]. Deadline is [Deadline]. Thanks!"
Is it rude to send an RSVP reminder?
No — reminders are expected and appreciated. Guests often intend to respond and forget. A warm, specific reminder is far less awkward than chasing people by phone the night before the caterer deadline.
Should I send RSVP reminders by text, email, or WhatsApp?
Use the channel each guest already uses with you. Text and WhatsApp get the highest response rates (80%+ open within an hour) and feel more personal. Email is better for formal events or large lists (200+). QuikRSVP's bulk messaging sends via WhatsApp (global) or SMS (US) to only the non-responders — no manual filtering required.
How do I send RSVP reminders to only non-responders?
In QuikRSVP, open your form dashboard, filter by response status, select "Has not responded," and use the bulk messaging feature to send a WhatsApp or SMS reminder to just that filtered list. The responded guests are automatically excluded.
What do you say in a final RSVP reminder?
Name the deadline explicitly, state what happens if they don't reply ("we'll assume you can't make it"), and include the direct RSVP link. Example: "Hi [Name] — final reminder that RSVPs close on [Deadline]. If we don't hear from you, we'll assume you can't join us. RSVP here: [link]"
